Hosting an Event

The Conference Services Office is a “one-stop-shop” for all event planning needs. There are a variety of facilities at Norfolk State University that are sure to provide the perfect setting for your event, and we offer a variety of services to make coordinating your event seamless. To begin the event planning process, please take a moment to review the procedures for requesting space provided below.

Prior to Reservations

  • Avoid Date Conflicts with Major Events

Please view the University Events Calendar prior to scheduling your event to avoid major conflicts. Scheduling events to occur at times when few other events or activities are scheduled may increase the attendance rate and likelihood of event approval.

  • Advance Notice Required

Please note that spaces should be reserved at least THIRTY (30) DAYS in advance.  For specific questions, please email or call (757) 823-8085 during normal business hours, 8:00 AM to 5:00 PM, Monday through Friday.

Room and Location Preferences

Whenever possible, the preferred room and/or location requested will be assigned. However, Conference Services reserves the right to schedule activities and events in the appropriate locations, taking into account the size, accommodations, and general nature of the event, and to schedule the necessary support services staff to ensure safe operation of the event.

Facility Reservation

Reservations Coordinated through the Conference Services Office

Conferences Services handles room reservations and scheduling of events for external groups. Reservation requests from external groups must be submitted a minimum of thirty (30) days in advance of the event. For more information, please refer to the Conference Services and Events Policies for Facility Use and Fees Manual, available under Documents and Forms.

Internal/University affiliated groups must request space using the 25Live event scheduling system. Requests should be submitted via electronic scheduling form at least 2 weeks prior to the event. For more information on scheduling internal events, please visit the University’s Event Scheduling website.

Reservations Not Coordinated through the Conference Services Office

Conference Services does not handle reservations for academic classes or the L. Douglas Wilder Performing Arts Center.
